Privacy Policy

Ward Bulletins ("we", "us") is a simple communication platform for wards, branches, and the people in them. This policy explains what information we collect, how we use it, and the rights you have — wherever you live. Ward Bulletins is the data controller for the personal information described here; contact us at feedback@wardbulletins.com.
The short version
- There is no advertising on Ward Bulletins.
- Your information is never sold — to anyone, for any purpose.
- There is no tracking within the service: no behavioral profiling, no cross-site tracking, no engagement analytics on your activity.
- Everything you do is scoped to your single ward. Members of other wards cannot see your content or your membership, and you cannot interact across wards.
Information we collect
- Account information. When you create an account, we collect your name, email address, and a password.
- Content you provide. Posts, questions, answers, and events you publish, and the groups you belong to within your ward.
- Technical log data. Standard server logs (such as IP address and browser type) generated automatically when you use the service, kept for security and reliability.
- Marketing-site analytics. This marketing website (wardbulletins.com) uses Google Analytics, which sets cookies to help us understand how visitors find and use the site. Nothing is set until you accept — we ask first, and the Cookies link in the footer changes your answer any time. The application itself (app.wardbulletins.com) contains no analytics trackers. See Google's privacy policy, or opt out with the Google Analytics opt-out add-on.
How we use your information, and our legal bases
Where laws such as the EU/UK GDPR require a legal basis for processing, ours are:
- To provide the service — delivering posts, questions, and events to the right people in your ward (performance of a contract).
- To send emails you've opted into, such as the optional weekly digest, plus essential account emails (consent, and performance of a contract).
- To keep the service secure and reliable, including server logs and abuse prevention (legitimate interests).
- Marketing-site analytics via Google Analytics (consent, where required).
We do not sell your personal information, show ads, profile you, or use your data for advertising — and we never will without asking you first.
How we share information
- Within your ward only. Your posts and questions are visible to members and leaders of the groups they're posted in, according to your ward's settings. Interaction is strictly limited to your own ward — nothing is shared between wards.
- Service providers. We use trusted providers to run the service, such as Amazon Web Services for hosting and Google Analytics on the marketing site. They process data only on our behalf and under contract.
- Legal requirements. We may disclose information if required by law or to protect the rights and safety of our users.
Public bulletin pages
At the discretion of a ward's bulletin administrators, selected content may be published to a public bulletin page that anyone on the internet can read without an account. What appears on a public page — and whether one exists at all — is decided and managed by that ward's administrators, and publicly posted content is their responsibility, not that of Ward Bulletins as the service provider. Content posted to a group that is not public is visible only to members of that group. If you're unsure whether something you post will be public, ask your ward's administrators.
Your rights
Everyone, regardless of location, can access, correct, or delete their personal information by emailing feedback@wardbulletins.com. We respond to all requests within the time required by applicable law, and we never discriminate against you for exercising your rights. Depending on where you live, you also have specific legal rights:
European Economic Area, United Kingdom, and Switzerland (GDPR)
- The right to access, rectify, or erase your personal data, and to receive a portable copy of it.
- The right to restrict or object to processing, and to withdraw consent at any time (without affecting processing that already happened).
- The right to lodge a complaint with your local supervisory authority.
California (CCPA/CPRA)
- The right to know what personal information we collect, use, and disclose — it's all described in this policy.
- The right to delete and to correct your personal information.
- The right to opt out of the sale or sharing of personal information. We do not sell or share personal information as those terms are defined by the CCPA, and we have no plans to.
- We do not use or disclose sensitive personal information for purposes requiring a right to limit.
Utah, Colorado, Virginia, Connecticut, and other US states
- State privacy laws such as the Utah Consumer Privacy Act provide rights to access, delete, and obtain a copy of your personal data, and to opt out of targeted advertising and data sales. We do neither.
International data transfers
Ward Bulletins is operated from the United States and hosted on Amazon Web Services in the US. If you use the service from outside the US, your information is transferred to and processed in the US. Where required, we rely on recognized transfer safeguards such as standard contractual clauses with our service providers.
Children and youth
Ward Bulletins is designed to be safe for youth: there are no direct messages, no hidden chats, and no contact with strangers — only your own ward. In line with the US Children's Online Privacy Protection Act (COPPA), children under 13 may not create an account, and we do not knowingly collect personal information from them. Anyone can still read a ward's public bulletin page without an account. In countries where the age of digital consent is higher than 13 (up to 16 in parts of the EEA), a parent or guardian must consent before a child below that age creates an account. If you believe a child has created an account or provided us personal information in violation of this policy, contact us and we will delete it.
Data retention and deletion
We keep your information for as long as your account is active. You may request deletion of your account and personal information at any time, and we will delete it within a reasonable period, except where we're required to retain it by law.
Security
We use industry-standard measures to protect your information, including encryption in transit. No method of transmission or storage is completely secure, but we work to protect your data appropriately.
Changes to this policy
We may update this policy from time to time. If we make material changes, we will post the updated policy here and update the effective date above.
